Basic Function: To assist and coordinate various functions within the HR department in order to provide efficient and effective service to the agency and its departments.

Essential Duties and Responsibilities:
RECRUITMENT-
• Assist HR department in assigned administrative/clerical processing and completion of all paperwork associated with the New Hires for all programs as assigned.
• Conduct prior employment reference checks, set up fingerprint appointments, process SEL, MHL, SCR and all other background checks.
• Place recruitment ads in various newspapers and/or internet websites as assigned
• Coordinate and assist in preparation of New Hire kits
• Coordinate meeting applicant to review paperwork and follow up for review and completion.
• Advise program when new hire is ready to start work.
BENEFITS-
• Process all health benefit bills including SIEBA medical and dental, Davis Vision, Allstate Supplemental Disability and Life Insurance, The Standard Life and LTD plan.
• Reconcile bills on a monthly basis for all additions, deletions and coordinate with carriers for all billing adjustments.
• Prepare check requisition and proposed payments for above stated benefit plans and forward for Executive approval
• Resolve billing requests from carriers and/or Finance department
HR Information System (HRIS)
• Process all New Hires into system, provide clock # to program on a timely basis
• Update all tax status United Way requested changes
• Run BDI prior to trial/payroll run bi-weekly
• Process system scrub reports and update corrections as required.
• Review all data input for accuracy before actual payroll is run on a bi-weekly basis
• Advise Finance manager and/or HR Manager of errors/changes affecting upcoming payroll
• Run monthly New Hire and Termination reports and forward to required agency personnel
• Forward Termination report to HUB International for reconciliation of HRA, FSA and HFSA accounts.
• Process all New Hire wage letters-obtain Executive approval/signature and forward to employee for signature. Maintain copy for personnel file.
• Process annual wage rate notices for agency personnel to be distributed prior to February 1st of each year.
• Process annual OSHA reports for each physical work site to be distributed to each site manager prior to February 1st of each year. Forward to HR Manager for review and approval prior to distribution.
ADMINISTRATIVE/CLERICAL
• Order office supplies for HR team. Obtain prior approval and process billing for completed orders.
• Assist in filing of all documentation pertaining to employee personnel files-active and terminated
• Removal of all employee terminated I-9 records from binders on a monthly basis and place in personnel file (data obtained from monthly termination reports)
• Participates in staff and other requested meetings and/or trainings
• Order employee benefits material as required (i.e. EAP flyer, Allstate flyer)
• Other administrative/Clerical duties as assigned

Job Requirements:
• HS Diploma/GED
• Excellent working knowledge of Human Resources Information systems (Ceridian preferred)
• Prior experience with Microsoft Word, Excel and Power Point
• Excellent communication skills including verbal and written
• Ability to keep all employee data/information confidential
• Detail Oriented and highly organized
• Prior experience in Recruitment
