Landlord Liaison (Harlem / Morningside, NYC) New York City

POSITION DESCRIPTION
The primary responsibility of this position is to act as the liaison between Harlem United's Supportive Housing Programs and management companies, landlords, and superintendents to prevent and resolve maintenance issues that are the responsibility of the landlord. The landlord liaison will ensure apartments are safe and sanitary and that the apartment buildings are free of violation and properly maintained.


ESSENTIAL JOB FUNCTIONS
The following duties are mandatory requirements of the job:
 Assess work order upon receipt that requires landlord intervention
 Notify landlord of required repairs needed ad ensure that they are completed in a timely manner
 Conduct regularly scheduled inspections, assess completion of work
 Maintain database to track and monitor new and existing work orders, and repair work
 Maintain detail records of all relevant information i.e., date, time, person contacted, conversations and outcomes
 Compose letters to landlord, management agents and companies based on previous correspondence and needed repairs
 Follow-up with clients for close out of work orders
 Consult with RMC to discuss barriers and next step resolution
 Address all HPD complaints received regarding leased units
 Coordinate meetings with designated outside housing agencies to address work orders, which require landlord intervention
 Provide weekly reports to Residence Management Coordinator
OTHER RESPONSIBILITIES
The following duties are to be performed as assigned by the supervisor:
 Assist with the day to day operations of the Residence Management Department
 Conduct apartment inspections and field work specific to property management
 Assist with preparation of funder audits of the apartments and address any repairs needed to be completed by the landlord.
 Special projects as determined by the Coordinator and/or Director of Residence Management
EDUCATION AND CERTIFICATION
 3 years experience working with property management or maintenance
 Some college preferred
 Must have a valid New York State drivers license

SPECIAL SKILLS AND KNOWLEDGE
In addition to the above-listed job responsibilities and educational requirements, the ideal candidate for this position possesses most or all of the following:
 Basic knowledge of common barriers to address repairs and how to overcome them
 Exceptional written, verbal, organizational an interpersonal skills (including excellent telephone communication skills)
 Must be computer literate, knowledgeable of Microsoft Office & Excel
 Ability to organize, prioritize and meet deadlines while working on numerous on-going projects simultaneously
 High-energy, people oriented, engaging individual , capable of exemplifying the organization's mission and collaborative culture
 Ability to work independently with minimal supervision and exercise sound judgment in making decisions
 Resourcefulness and ability to work proactively -- thinking ahead
