Summary: Support the achievement of the Human Resources department objectives by coordinating scheduling with key stakeholders and providing administrative assistance for a wide variety of complex, diverse, sensitive and confidential tasks and projects.
Responsibilities:
Assist with calendar management for the Senior Vice President, Chief Human Resources Officer by maintaining an organized, up-to-date calendar and resolving scheduling conflicts to ensure consistent communication and planning with multiple stakeholders
Manage travel and meeting arrangements by organizing logistics and liaising with key stakeholders and travel resources to confirm schedules and/or itineraries
Organize billing and budgeting documents by preparing reports and financial data, and processing expense reimbursements
Provide personalized and quality customer service to key stakeholders, including all members of the Human Resources team, by screening and prioritizing incoming information, recommending actions to resolve requests and referring stakeholders to appropriate employees or departments as required
Manage directly or support some Human Resources activities, including but not limited to separation agreements, employment verification, audits, new hire orientation, employee files, and responding to general HR policy questions
Manage special projects as assigned by establishing objectives and milestones, defining resources, coordinating work plans and creating presentations or other documents as required to support the achievement of Human Resource team's goals
Liaise with key stakeholders by drafting, reviewing, prioritizing and executing correspondence, sending materials for review prior to meetings and taking and distributing meeting notes to inform and maintain up-to-date communications

Qualifications and Experience:
3 years of Executive support experience is required, preferably within an advertising/marketing/pr agency
Bachelor's degree or equivalent work experience strongly preferred
Advanced working knowledge of writing mechanics and grammatical concepts
Proficiency with Microsoft Office Suite, including Outlook, Excel, Word and PowerPoint.
GoTo Meetings knowledge helpful.
Advanced working knowledge of administrative procedures and systems, managing files and records and other office procedures and terminology
A proven track record of maintaining the highest level of confidentiality and responding in a discrete manner at all times
Must have strong written and oral communication skills and excellent judgment
MAC knowledge preferred.
Ability to multitask and prioritize
